Introduction to Tagging

Tags allow you to enrich your documents by adding semantic information and structural metadata to the layout and text. By using tags, you can categorize specific elements of a document, making them searchable and ready for further data analysis.

Transkribus distinguishes between two primary types of tags: Structure Tags and Textual Tags.

Structure Tags

Structure tags are used to define the visual and functional layout of a page. They are applied to Layout Elements (regions) rather than individual words. These tags help the platform understand the "anatomy" of a document.

Common uses for Structure tags include:

  • Defining Regions: Identifying areas as paragraph, heading, caption, or marginalia.

  • Page Organization: Tagging elements like page-number or header.

Textual Tags

Textual tags are used to enrich the Transcribed Text itself. They are applied to specific words, phrases, or characters within a line. These tags are used to identify semantic entities or editorial interventions.

Common uses for Textual tags include:

  • Named Entities: Marking names of person, place, or organization.

  • Editorial Notes: Identifying abbreviations, additions, deletions, or unclear text.

  • Custom Metadata: Creating personalized tags to track specific themes or keywords relevant to your research.

Why use Tags?

Implementing a consistent tagging strategy provides several benefits for your project:

  • Enrich your data: Tagging allows you to add visual elements of data to your transcription or connect the additionally added data in your transcriptions to your scans.
  • Data Extraction: Export your tags seperately or within your metadata.

  • Field Models: With tagged Layout Regions you can train your own Field Model and tailor your Field recognition specifically to your materials or research goals. For further information on Field Models have a look at this page: Field Models.

Managing Tags

Tags are created and saved on the "Collection" level of your material. To manage, create or change your tags you need to follow these steps:

  1. Go to your collection overview page, by clicking on "Collections" on the left-sided slide-out under "Assets". From here click on the collection wherein you would like to manage or change the tags.
  2. Go to "Settings" in the upper right corner of the page and select "Tag Settings". You will autoamtically be redirected to the Tag Settings view under "Collection Settings". 
  3. To create a new tag, select the type of tag you would like to create in the slide-out on the left side under "Tags": Textual tags, Structural tags or Relational tags.
  4. Now you can click on "Create new" in the upper right corner of the Settings' view. 
  5. To edit the existing tags you can click on the "Pen" symbol in the tags' lists and to delete a tag you can click on the "Bin" symbol in the tags list. 
  6. When you are happy with your new tag or your changes click on "Create" or "Save" to save your changes.
  7. If you create a new tag or modify existing tags you can change the name, the colour and the attributes connected to the tags. 

    Attributes provide information about the content of the tag and can be used to extract and process data from the transcription. For example, the date tag allows you to tag a date written in the document and add properties such as the day, month, and year in a standardised format. It's worth mentioning that not all tags require attributes, it depends on your specific needs.

    When it comes to default tags, you have the option to delete them using the "Remove tag" button or to add new attributes to them. However, it's important to note that you cannot delete the existing attributes.

Note: If you delete or edit your existing tags the instances where you have already applied the tags in your data in the editor will not be affected. 

Importing Tags

To avoid having to re-create all your costum tags with every new collection you can import tags from other collections. 

  1. Go to your collection overview page, by clicking on "Collections" on the left-sided slide-out under "Assets". From here click on the collection wherein you would like to manage or change the tags.
  2. Go to "Settings" in the upper right corner of the page and select "Tag Settings". You will autoamtically be redirected to the Tag Settings view under "Collection Settings". 
  3. To create a new tag, select the type of tag you would like to create in the slide-out on the left side under "Tags": Textual tags, Structural tags or Relational tags.
  4. In the Tags' overview list you can find the "Import tags" symbol button in the upper right corner of the Settings' view. 
  5. Here you can search for the collection you would like to import the tags from by the name or ID of that collection.  
  6. Once you have selected a collection the system will automatically show you all tags that need to be imported, filtering out the tags that already exist in your current collection. 
  7. Lastly click on "Import" to import your tags to your current collection.
